Quotation detail screen
Quotations can be edited in the Quotation detail screen. This screen is displayed when you open a quotation from the Quotations overview screen.
To open a quotation, you can use the following steps:
- Open the Quotations overview screen.
- Select the quotation you want to edit and press the Enter key to open it. The quotation will be opened in the quotation detail screen.
The Quotation detail screen contains functionalities for editing, copying, sending, and applying quotations within ReflexBlue. Below you will find detailed instructions and steps to perform each of these tasks.
Editing quotation lines
There are several ways to edit the quotation lines, which are explained below.
Adding articles to a quotation
- Go to the bottom line of the quotation.
- Press the Enter key.
- A screen with articles will appear.
- Choose one or more articles from the list.
- Select Select to add the articles to the quotation.
Adding articles from an order pattern to a quotation
- Select Order pattern in the toolbar.
- A screen with available order patterns will appear.
- Choose an order pattern from the list.
- Select Select to add the articles from the order pattern to the quotation.
Order patterns are filtered by default based on the relation associated with the quotation. If no relation is known, all order patterns will be displayed.
Conversion assistance
Conversion assistance is a feature that helps you quickly adjust values in the Fixed, Percentage, and Amount columns of a quotation line.
To use the conversion assistance, follow these steps:
- In the Quotation detail screen, check the quotation lines on which you want to apply the conversion assistance.
- Select Conversion assistance in the toolbar.
- A window will appear allowing you to perform operations on the Fixed, Percentage, and Amount columns.
- Choose the operations you want to perform.
- Select Ok to apply the operation to the selected lines.
Operations
The following operations are possible when using conversion assistance on quotation lines.

| Increase | Increases the value of the column by the specified value. |
| Decrease | Decreases the value of the column by the specified value. |
| Fixed | Replaces the value of the column with the specified value. |
Normally, columns are only modified if they have a value. Select Adjust empty values to also modify columns without a value.
When creating a quotation line, the columns needed for price calculation are historically recorded. This way, you can always see how the agreement was reached. As a result, the stored prices may deviate from the current prices over time. By recalculating quotation lines, you can ensure that quotation lines are updated with current prices.
Prices that deviate from the current price are indicated in the quotation lines with a icon.
Recalculate quotation lines
Follow the steps below to recalculate quotation lines:
- In the Quotation detail screen, check the quotation lines you want to recalculate.
- Select Recalculate in the toolbar. The prices of the quotation lines will be recalculated.
Deleting one or more quotation lines
Deleting a single line
- Select the quotation line you want to delete.
- Press the Delete key.
- Confirm the deletion of the line.
Deleting multiple quotation lines
- Check all quotation lines you want to delete.
- Select Delete lines in the toolbar.
- Select Ok to confirm deletion.
Copying quotations
Copying a quotation allows you to make a new offer based on a previous quotation. The copied quotation can be modified and edited. Use this feature to expedite and make the creation of similar quotations more accurate.
Follow the steps below to copy a quotation:
- In the Quotation detail screen, select Copy quotation on the toolbar.
- Select Ok to confirm.
Sending quotations
When sending a quotation, a quotation template is used to create a PDF file and email it to the customer.
Follow the steps below to send a quotation:
- In the Quotation detail screen, select Send quotation in the toolbar.
- Choose the relations to whom you want to send the quotation.
- Select Select to send.
Requesting a preview
Before sending the quotation, you can request a preview of the quotation on screen.
Follow the steps below to request a preview report of a quotation:
- In the Quotation detail screen, select Preview report in the toolbar.
- A preview report will be displayed. It is possible to print or save the preview report locally as a PDF file.
Configuring quotation templates
When sending a quotation, the quotation template specified in the quotation details is used. For more information, you can refer to the Quotation template page.
Configuring email settings
The email settings can be found in the administration settings. Follow the steps below to configure the email settings:
- Open the Administration settings in ReflexBlue from the menu.
- Select Quotation settings from the Quotations category.
- Adjust the email settings under the Email settings section.
- Select Save to save your changes.
The following settings are available for sending quotations via email.

| Sender | Choose the sender of the email from the email addresses of the administration relation. |
| BCC Email Category | Choose the email category to send a BCC of the email to the administration relation. Email addresses must be configured for the chosen category in the administration relation. |
| Email Category | Choose the email category to use for emailing to the relation. If the relation does not have email addresses in the chosen email category, the quotation will not be sent. |
| Email Template | Choose the email template to use when sending the email. |
Apply quotation
Applying a quotation is the final step in the quotation process. When applying a quotation, the agreements from the quotation lines are translated into price definitions. After applying, the quotation becomes historical and cannot be edited anymore.
Follow the steps below to apply a quotation:
- In the Quotation detail screen, select Apply quotation in the toolbar.
- Select Ok to confirm.
Reject quotation
Rejecting a quotation allows you to make it historical without applying it.
Follow the steps below to reject a quotation:
- In the Quotation detail screen, select Reject quotation in the toolbar.
- Select Ok to confirm.
It is possible to assign a default status to a quotation when rejecting it. This status can be indicated in the administration settings. More information about this can be found on the Quotation statuses page.
From Quotation to Order Pattern
Once you’ve created a quotation, you can convert it into a customer order pattern so that each repeated order for that customer matches the agreed assortment.
Follow the steps below to generate a customer order pattern from a quotation:
- Open the quotation in the Quotation detail screen.
- Select Add Order Pattern on the toolbar.
- Choose New Order Pattern or Update Existing Order Pattern.
- Fill in the remaining fields and select OK.
- ReflexBlue updates the order pattern.
Below are the strategies for creating an order pattern from a quotation:

| New Order Pattern | The customer does not yet have an order pattern, or the quoted items form an entirely new assortment. | Creates a new order pattern that only contains the quoted items. |

| Update Existing Order Pattern - Merge lines | The quoted items are an addition to what the customer already orders. | Retains existing items and adds the quoted items. |
