The Reports overview screens in ReflexBlue
The Reports overview screens in ReflexBlue allow you to manage reports. Through these screens, you can view an overview of available reports and adjust their layouts and settings.
The Reports overview screens are divided into categories depending on the type of report. The available overview screens are shown in the table below.

| Reports (production) | Reports about production, such as cost price calculation, production lists, and recipes. |
| Reports (accounting) | Reports about accounting, such as an import report for outstanding invoices. |
Opening a reports overview screen
Follow the steps below to open a Reports overview screen:

Open the menu of the ReflexBlue Desktop Client by selecting the ReflexBlue logo in the title bar or use the keyboard shortcut Ctrl+~.

Under Management, select the Reports option within the correct category for the type of report you want to edit. For example, if you want to edit the layout of a packing slip, select Reports (sales).
To see only the report categories in the menu, type report in the search field at the top right.

After making a selection, a new screen will show you an overview of the reports in the selected category.
Editing a report layout
Follow the steps below to edit a report’s layout:
- Open the Reports overview screen of the category in which the report you want to edit is located (for example, Reports (sales) for a packing slip).
- In the list of reports, select the report you want to edit.
- Then select Edit report layout. This opens the Report Designer in a new window with the report’s layout definition and test data.
- Adjust the report’s layout definition and save it.
Copying a report layout
Follow the steps below to copy a report layout:

Open the Reports overview screen of the category in which the report you want to copy is located (for example, Reports (sales) for a packing slip).

In the list of reports, select the report you want to copy.

Then select Copy report layout. A copy of the report will then appear in the list of reports.
The name of the copied report will automatically get the text
(copy)appended. You can change the name in the Report details.
Deleting a report layout
It is not possible to delete report layouts that are included by default with ReflexBlue.
Follow the steps below to delete a report layout:
- Open the Reports overview screen of the category in which the report you want to delete is located (for example, Reports (sales) for a packing slip).
- In the list of reports, select the report you want to delete.
- Then select Delete report layout.
- Confirm that you want to delete the report layout.
Filtering and searching reports
In the Reports overview screens, you have the option to filter the reports shown in the overview, so you can quickly find the report you’re looking for. You can filter by the following criteria:
- Report type: Select a report type from the dropdown list to show only reports of that type.
- Report name: Type a name to show only reports with that name in the list.
Editing report settings
Follow the steps below to edit a report’s settings:

Open the Reports overview screen of the category in which the report you want to edit is located (for example, Reports (sales) for a packing slip).

In the list of reports, select the report whose settings you want to edit.

Then select Report settings. A details screen will appear where you can edit the following data of the report on the General tab.
Name Description Name The name of the report. Visible Indicates whether the report should be shown. Actions Actions linked to the report. These are explained further below. -
Adjust the data and select Save to save your changes.
Report actions
In ReflexBlue, it is possible to link actions to reports that are automatically executed when printing. You can specify these actions in the Report settings.
Adding a report action
Follow the steps below to add a report action:
- Open the Report settings of the report to which you want to add an action. The settings open in the Report details screen.
- On the General tab, select Add Action.
- Then select the action you want to add from the menu. The action will be added to the report.
- Fill in the required data for the action.
- Select Save to save your changes.
Removing a report action
Follow the steps below to remove a report action:
- Open the Report settings of the report from which you want to remove an action. The settings open in the Report details screen.
- On the General tab, select the action you want to remove.
- Then select Remove Action.
- Select Save to save your changes.
Available report actions in ReflexBlue
In ReflexBlue, you can link various report actions to reports. This allows you to automate what happens when a report is generated. The available actions are:
- Print report
- Email report
- Email report to relation
- Confirm
Below you’ll find a description of each action and how to configure it.
Print report
With the Print report action, you can link and automatically print a report (such as a packing slip or weighing list) on a specific printer. You can configure the following options:

ReflexBlue Printer: Select a logical ReflexBlue printer on which the report should be printed.

User printers: Set up a printer per user for printing the report.
- Select Add user printer to add a printer for a user.
- Select Remove user printer to remove a configured printer.
Email report
With the Email report action, the report is automatically sent by email to the specified email address. You can configure the following options:

To email address: The email address to which the report will be sent.

From email address: The email address used as the sender. You can choose from the email addresses specified for the administration relation.
You set the administration relation via Administration Settings in ReflexBlue. You add the relation’s email addresses in the relation details.

Bcc email address: (Optional) An additional email address to which a Bcc of the report is sent.

Email template: Choose an email template from the available templates in your administration.
Email report to relation
With the Email report to relation action, the report is automatically sent by email to a relation.
This action is only executed if the report is linked to a relation.
You can configure the following options:

Email addresses: Determine how the system handles the absence of an email address for the relation:
- Email address must exist. Without an email address, the report action will not be executed.
- Email address is optional. If there is no email address, the action is ignored.

Relation email category: Choose the email address category at the relation to which the report will be sent.

From email address: The email address used as the sender. You can choose from the administration relation’s email addresses.
You set the administration relation via Administration Settings in ReflexBlue. You add the relation’s email addresses in the relation details.

Email template: Choose an email template from the available templates in your administration.

Cc email category: Optionally, choose an email category for addresses that will receive a Cc.

Bcc email address: Optionally, add an extra Bcc address. You can choose from the administration relation’s email addresses.

Bcc email category: Optionally, choose an email category for addresses that will receive a Bcc.
If you select an email category, the report will be sent to all email addresses of the relation within that category.
Confirm
With the Confirm action, the report will not be printed, but must still be confirmed. If this action is linked to a report, you will see the Confirm option in the Print Preview instead of Print.
Layout history
Each time you edit and save the layout of a report, ReflexBlue automatically keeps a layout history in which previous versions of the report can be found. This is especially useful if you’ve made changes to a report layout that do not work as desired and you want to revert to a previous version.
You can view the layout history of a report in the Report Settings. Follow these steps:

Open the Report Settings of the report for which you want to view the layout history. The settings will open in the Report Details screen.

In the Report Details screen, select the Layout History tab. Here you’ll see a list of previous versions of the report, with the following information.
Name Description Version The version number of the report layout. Created on The date the layout was created. Created by The user who created the version. -
Select a version of the report layout from the list and then the Open selected layout option to open that version of the report. The report will open in the Report Designer.

When you save the opened report layout again via the Report Designer, that version will be used when printing the report. This way, you can restore an old version of a report layout.
