Quotation template
You can use an MS Word template when creating your quotation. In this template, you can for example include the contact details of your relation and the salutation and closing of your quotation. Templates are managed in the Document Templates overview screen.
When creating and editing a quotation, the template can be specified in the quotation details. By default, the template specified for the relation will be used.
Specifying a template for the quotation
- Open the Quotations overview screen.
- Choose the quotation you want to edit and select the Enter key to open it. The quotation will open in the Quotation details screen.
- Select Edit quotation in the toolbar. A screen with the details of the quotation will appear.
- Select the arrow next to the Document template field to choose a template.
- Select Save to save the changes.
Specifying a template for the relation
- Open the Relations overview screen.
- Choose the relation you want to edit and select the Enter key to open it. The relation will open in the Relation details screen.
- Open the Customer tab.
- Select the arrow next to the Quotation document template field to choose a template. Select to remove the assigned template if desired.
- Select Save in the toolbar to save the changes.
Creating a quotation template in MS Word
A quotation template is a standard MS Word document. It is not a MS Word template.
Creating a template is done as follows:
- Open the MS Word application and create a new document.
- Customize the document as desired, using the document template syntax and the available quotation template variables supported by Reflex Blue.
- Save the document.
- Add the document to the document templates via the Document Templates overview screen. Select this link for assistance.

Embedding fonts
To use a special font in your quotation template that is not standard with Microsoft Windows, you can embed the font in the MS Word document. This is important to ensure that quotations using the template are processed and sent with the correct font.
In Microsoft Office 365, you can embed the font in the MS Word quotation template when saving with the following options: Save as > More options > Additional > Save options > Embed fonts in the file.
